Why do mobile mechanics struggle with invoicing?

Mobile mechanic checking a car beside a van equipped with tools

You finish several jobs a day in different places. By the evening you're trying to remember which car had which pads, how long the labour took and whether you charged the call-out.

Invoices written late get paid late, and forgotten parts come out of your own pocket.

SaidToPaid is an invoicing app for mobile mechanics working from vans, driveways, roadside locations and customer premises.

Simple garage invoicing software without the bloat

SaidToPaid is useful for mobile mechanics and small independent garages that need straightforward invoicing without a full garage-management platform. Record parts, labour, diagnostics, call-out charges and consumables, then turn the job details into an invoice draft.

It is an invoicing tool, not workshop management: there is no MOT booking system or parts inventory. If you mainly need invoices out quickly and paid on time, that is what it is built for.

Can a mobile mechanic create an invoice from a voice note?

Yes. A mobile mechanic can record the customer, repair, parts, labour and call-out charge as a voice note and use voice-invoicing software to turn those details into an invoice draft. The mechanic should review the details before sending it.

How does voice invoicing work for mobile mechanics?

You say one sentence. SaidToPaid turns it into separate, priced invoice lines.

Frequently asked questions

What is the best invoice app for mobile mechanics?

One you can use beside the vehicle. SaidToPaid turns a spoken description of parts, labour and call-out fees into an itemised invoice draft you approve and send from your phone.

Can I add parts and labour as separate lines?

Yes. Say the parts and the labour in one sentence and each goes on its own line with its own price.

Can I charge a diagnostic fee?

Yes. Agree it before you start and say “diagnostic fee” in your note; it appears as its own line, even if the customer declines the repair.

Can I keep vehicle details on file?

Yes. Customers and their vehicles are stored, so registration and make are ready for the next job or service reminder.

Is this full garage management software?

No. SaidToPaid handles estimates, invoices, payments and reminders. It does not do MOT booking, workshop scheduling or parts stock control.

Invoice wording & UK business checklist

Invoice terms you can copy

Plain wording to add to the notes on your invoices. Save it once in your settings and it goes on every invoice. General guidance, not legal advice.

Late payment (business customers)

Payment is due within 30 days of the invoice date. If you are a business customer, we may charge interest on late payment at 8% a year above the Bank of England base rate, plus fixed compensation, under the Late Payment of Commercial Debts (Interest) Act 1998.

Parts warranty

Parts supplied carry the manufacturer's warranty only. Customer-supplied parts are fitted at the customer's risk and are not covered for labour if they fail.

Diagnostics

Diagnostic time is charged even if the customer chooses not to go ahead with the repair.

Waste disposal

A disposal charge applies for used oil, filters, batteries and other waste removed from the vehicle.

The late payment law only covers business-to-business invoices. Fixed compensation is £40 on debts under £1,000, £70 up to £9,999.99 and £100 from £10,000.

Mobile mechanic checklist (UK)

  • Register for VAT once your taxable turnover passes the current threshold (£90,000 from April 2024). Below that, don't add VAT to invoices.
  • Waste oil, filters and batteries are hazardous waste. Use a registered waste carrier and keep the paperwork.
  • Have public liability and motor trade or road risks insurance that covers working on customers' cars.
  • Record the vehicle registration and mileage on every invoice. It helps the customer's service history and settles disputes.
  • Keep invoices and records for at least 5 years after the 31 January Self Assessment deadline.

General guidance, checked October 2026. Rules change and vary by council, so check with your local authority, insurer or HMRC.
