Equine Chiropractor Invoicing Software: 3 Apps Compared

Compare SaidToPaid, Equigate and FreeAgent for equine chiropractic practices. Explore pricing, voice invoicing, treatment reports and accounting tools, with practical billing examples and a checklist to help you choose the right software for your business.

*Published by SaidToPaid. Provider information checked on 20 September 2026, with additional SaidToPaid feature details supplied by its founder. This is not a hands-on review.*

For an equine chiropractor, the best fit depends on which part of the paperwork needs attention. SaidToPaid turns spoken or typed appointment details into invoice drafts for you to check. Equigate combines billing with equine treatment records and client reports. FreeAgent includes invoicing within a wider accounting system.

If your invoices are waiting until the end of the day, SaidToPaid gives you a way to capture the customer, horse, appointment charge and travel while the details are fresh. Its diary and horse information sit alongside that workflow. The comparison below shows where the alternatives offer similar features and where their scope differs.

Key: ✓ means a capability is described in the provider's public information or, for SaidToPaid, confirmed by its founder. Not confirmed means the reviewed sources did not establish the feature; it does not mean it is unavailable.

Equigate supports typing, dictation and recorded voice notes for appointment records and reports. That is useful, but it does not establish that a spoken description becomes an invoice. Compare the specific output you need, not just whether an app accepts voice. See Equigate's appointment notes and reports.

Where can SaidToPaid be the better fit?

When you want the invoice to start with a description of the visit. Say who the customer is, which horse you saw, what to charge and any agreed travel. SaidToPaid prepares an itemised draft for your review. You can also type the details. See how SaidToPaid works.

When a short note leaves something unclear. Pro lists missing-information follow-ups. For example, SaidToPaid can ask about an unclear price or customer detail before rebuilding the draft. You still check the result; it cannot recognise every possible omission. See the feature explanation.

When you want review requests alongside invoicing. SaidToPaid advertises automatic Google review requests for completed work. That gives the business a way to ask for feedback without composing each request separately. See SaidToPaid's workflow.

These are reasons to test SaidToPaid's billing workflow. If you need anatomical charts and treatment reports, include Equigate in your trial. If you need invoices connected to your wider accounts, include FreeAgent.

How much do the three options cost?

✓At-a-glance comparison
ProductPublished priceTrial or preview
SaidToPaidStarter £29/month + VAT, up to 30 estimates or invoices; Pro £59/month + VAT, up to 100One free draft preview without a card. Sending requires a separate 14-day trial with a card
Equigate£40/month, or £400 paid annually. Subscription VAT treatment was not clear in the reviewed information30-day subscription trial with a card; chosen paid plan starts automatically unless cancelled
FreeAgent — UK sole traderRegularly £19/month + VAT. The current introductory offer is £9.50/month + VAT for six months30-day trial; eligible bank accounts can include free access

These are the published prices checked on 20 September 2026. Confirm the price, tax, plan limits and payment-processing charges before subscribing. FreeAgent prices vary by business structure; the row above is for a sole trader.

FreeAgent also offers annual sole-trader billing at £190/year + VAT, currently £95 + VAT for the first year. It is free with an eligible NatWest, Royal Bank of Scotland or Ulster Bank business current account while retained, or with Mettle if you make at least one transaction a month. Optional add-ons may cost extra. Check FreeAgent's current eligibility and pricing.

Equigate also offers pay-as-you-go units at £1 each in blocks of 10 or 20. A unit covers an appointment note or a client report; it is not described as a price per invoice. PAYG has no free trial. See Equigate's plan definitions.

Choose around your workload. Three invoices per working day over 20 days is 60 invoices, before estimates, so SaidToPaid Starter's 30-document allowance would not cover that example. Pro explicitly lists automated email payment reminders; confirm the reminder type included in your chosen plan because the pricing page also uses broader wording about reminders across plans.

What should an equine chiropractor's invoice include?

Make it easy for the paying customer to connect the charge to the horse and appointment. Useful descriptions include the horse's name, appointment date, whether it was an initial or follow-up appointment, and any separately agreed travel charge.

UK invoice essentials include a unique invoice number, supplier and customer names and addresses, supplier contact details, a service description, supply and invoice dates, the amounts charged, applicable VAT and the total. Sole traders also need their own name and any trading name, with an address for legal documents when using a business name. Limited companies must use their full registered company name. See the GOV.UK invoice requirements.

Add the agreed payment deadline, payment instructions and a reference the customer can use. If VAT applies, follow the relevant VAT invoicing rules.

Example: two owners sharing one yard visit

You visit Willow Yard on 22 September 2026. Megan Ellis pays for Holly's initial appointment, and Luke Morgan pays for Bran's follow-up. They have agreed to split a £20 travel charge equally.

The names, services and prices below are fictional billing examples, not recommended fees. The supplier in this example is not VAT registered.

✓At-a-glance comparison
Paying customerAppointment chargeAgreed share of travelInvoice total
Megan Ellis — Holly, initial appointment£80£10£90
Luke Morgan — Bran, follow-up appointment£60£10£70

Create a separate invoice for each customer using their own billing details. The combined total is £160, including exactly £20 travel. These are illustrative charges, not complete invoices; each document still needs the identifiers, dates and details listed above.

A yard manager arranging the visit does not automatically become the person paying. Confirm the billing arrangement before combining different owners' charges. If travel is already included in the appointment price, do not add it again.

Can you create the appointment invoice from a voice note?

Yes. With SaidToPaid, describe the billable work and review the draft it produces. For Megan's fictional appointment, you could say:

Invoice Megan Ellis for Holly's initial equine chiropractic appointment at Willow Yard on 22 September 2026. The appointment is £80, plus the agreed £10 share of travel. Payment is due on 29 September 2026. My business is not VAT registered.

Check that the draft uses Megan's billing details, names the correct horse and totals £90. The payment period is illustrative; use the terms agreed with your customer. Keep Luke's charges on his separate invoice. SaidToPaid's voice and draft features

Is an invoice the same as a treatment report?

No. The invoice explains the service supplied and the amount owed. A treatment report records the practitioner's assessment, findings and other clinical information. Keep those purposes clear when comparing software.

SaidToPaid's ability to store information about a horse does not by itself establish specialist clinical charting. Equigate explicitly offers private appointment notes, client reports and anatomical diagram markup. If those tools are essential to your practice, test them alongside invoicing. Equigate reports, anatomy markup

What happens if there is no signal at the yard?

With SaidToPaid, you can save a recording using your phone's recording app, then upload it and generate the invoice when connected. That is a way to capture the billing details offline; it is not verified offline invoice generation within SaidToPaid.

Equigate's FAQ says you can complete reports offline if the appointments were booked before losing signal. Check separately which invoicing, sending and payment actions need a connection. Equigate offline guidance

FreeAgent states that its mobile app requires an internet connection. FreeAgent mobile requirements

What do customer reviews help you check?

Equigate's public reviews include praise for reports and appointment communication, alongside an August 2026 report of slow refreshing and problems with weak signal. That makes a realistic yard trial useful; it does not establish that SaidToPaid performs better offline. Equigate reviews

FreeAgent reviews include praise for invoicing and support. A March 2026 reviewer found invoice entry frustrating, while the company replied that support would investigate. Use that as a question to test with your own appointment example, not proof of a missing feature or of SaidToPaid being faster. FreeAgent reviews, March review and response

These reviews cover broader customer groups, not only equine chiropractors. No independent SaidToPaid review sample sufficient for a comparative rating was verified in this research.

What should you test before choosing?

Use the same fictional appointment in each trial:

  1. 1Create a bill for the correct owner, horse and agreed service.
  2. 2Add a shared travel charge without charging the full journey twice.
  3. 3Correct an amount and check the total before sending.
  4. 4Check how payment is recorded and further reminders are stopped.
  5. 5Try the diary, horse information and any treatment-report features you need.
  6. 6Check what works at your usual signal strength and how invoices will reach your accounting records.

FreeAgent's accounting functions go beyond preparing an invoice. If you use SaidToPaid alongside existing accounting software, establish how records will be transferred and avoid entering the same sale twice. No direct SaidToPaid–FreeAgent integration is established by this comparison.

A customer's experience

“I run a livery yard and was constantly putting off invoicing until the evening. SaidToPaid lets me create invoice drafts from voice notes while I’m working, which has made keeping on top of payments much easier. It’s simple to use on my phone and saves me a lot of admin time.”
