Yes. In the UK you can send an invoice over WhatsApp. The delivery channel does not change what the invoice must contain: it still needs your business details, the customer, a unique invoice number, dates, what you supplied, the amount and payment terms. Sending a PDF is clearer than typing the details into a message.

Does sending by WhatsApp change what must appear on the invoice?
No. An invoice is defined by its contents, not how it travels. Email, post or WhatsApp — the same details are needed. GOV.UK sets out what a UK invoice must include: Invoicing and taking payment from customers.
What does a valid UK invoice need?
- Your name or business name and contact address
- The customer's name and address
- A unique invoice number
- The invoice date and the date the work was done
- A clear description of the goods or services
- The amount owed and when it is due
- If you are VAT registered: your VAT number and the VAT shown, as described in HMRC VAT Notice 700
Should I send a PDF or a message?
Send a PDF or a link to the invoice. A typed message is easy to miss details from, hard to find later and looks less professional. A PDF keeps the layout, numbering and totals together.
Do I still need to keep invoice records?
Yes. A WhatsApp chat is not a reliable record system: phones get lost and chats get deleted. Keep a copy of every invoice somewhere you control, numbered in sequence, so you can answer HMRC or a customer query later.
Which customer details should I check?
Make sure the name and address on the invoice match who is paying, not just the WhatsApp contact name. For businesses, use the registered business name.
Can I include a payment link?
Yes. A bank-details block or a card payment link on the invoice makes it easier to pay straight away. Only share links from a provider you trust and never ask for card details in the chat itself.
What about security and privacy?
Invoices contain personal data. Send them only to the right person, avoid group chats, and do not forward invoices to anyone who does not need them. Tell customers you will only ever send payment details in the invoice, so they can spot scams.
Where does voice-to-invoice fit?
You can say the job into your phone, let SaidToPaid build the invoice draft, check it, then send it by email with a link you can also share. Native WhatsApp sending in SaidToPaid is coming soon and is not live yet.
